Monthly Cover Exchange Questions, Concerns, etc…

This thread is dedicated to Questions, Concerns, Improvements, etc… of the Monthly Cover Exchange. Any participant of the covert exchange can voice his or her opinion in this thread.

I’ve decided to start this thread because lately I have been receiving e-mails from participants regarding many different issues. I will get to those in due course.


But first, I thought about this after viewing another thread. What do you guys think about adding a theme to the December cover exchange? In the past, we have had several themes but I stopped introducing them because it was too much for some members. This time, we can try a theme for one month and take a break.

So, as a theme would you guys like to exchange airmail envelopes?
You can exchange as many as you and your partner agree to.

Now, to be fair to everyone, there are approximately 22 participants in the cover exchange. To go on with this theme, I would need 12 participants to approve this.

Concerns.

First, members not responding to messages from their exchange partners. If you are making a commitment i.e. joining the exchange, you are responsible to fulfill that commitment. This includes communicating with your exchange partner.


Second, I am hearing that the type or quality of envelopes used by some participants is extremely poor. I am talking about envelopes that look like they have been made out of tissue paper. That is really not acceptable.

If it is a cost issue, why not exchange one or two covers only. But, make sure that they are of good quality. I know that some members put in a lot of time and effort to make these covers look great.

I have this statement on every first post of the monthly exchange, “When mailing a cover you should ask yourself, would I like to receive what I am mailing out to my cover exchange partner?”.


Last, I see that some of you have not been posting images of covers received. I hate to be the policeman but, I will because it’s simply not fair to the other participants.

I'm in for theme but not sure all senders may have them due to country specific issue limitation,so not in favor of it. My vote is No.

Hi Mark,

Thank you for giving the chance to express points of view with the aim to improve the interesting exchange of covers.

It was a great idea looking for voting the best cover of the month but obviously it would be really fair only if all the participants post images of the covers as soon as received.

Regarding your proposal on adding a theme for the exchange; I vote yes.
Considering the concern from Kenneth, I would say that theme(s) should be general enough to include the themes issued normally by the post companies from most of the countries.

I preface my comments by saying how much I enjoy the cover and postcard exchanges; in general my experience of them has been great with many long-term exchange partnerships/friendships established and some wonderful covers, postcards and generous 'extras' received.

However, it's worth all of us participants considering the following:

(i) It's important that each exchange participant post a message in the relevant monthly thread to confirm that cover(s) have been sent and received
(ii) It's most important and courteous that each exchange participant post scans/photographs of covers received in a timely manner*
(iii) Each cover should be given due care and attention when being prepared i.e. neat handwriting, postage stamp placement, this can also include envelope quality and use of suitable card/paper insert to act as a stiffener
(iv) Communicate with your exchange partner; let them know if there is a problem or mail has not be sent/received**

*We all have busy lives away from stamps that prevent scans/photographs being uploaded the same day as receipt of the cover but it should not be unreasonable to expect this be done the same week rather than the next month or as in some cases not at all.

**I have had at least two cover exchange partners that I have no idea whether they have received their covers despite sending them emails.

That's exactly my point. I know that participants have lives away from stamps and sometimes life gets in the way of collecting. But, not posting an image of the cover/s received is just not acceptable.

I know that not everyone will want a theme. It might be an added expense, no interest, etc...

If you like the way that the exchange is running and you don't want anything to change. That is, if it ain't broke, don't fix it. Just let me know and I will oblige.

VERY upsetting when you go to great lengths to have the cover hand cancelled on 29 Feb 2012 and stuffed full of bonus goodies. A real kick in the balls :evil: :evil: :evil:

While I would like to participate in this one, I have overspent my stamp allowance for this month already. I will keep an eye out for the next one. As always, thanks for organising the exchanges AMark.

Hello Mark,

I do like the monthly cover swap and i really appreciate the participant state of mind.
I had also great moment with this swap. But like TheRoyalCounty, it also happened to me that my covers were not scanned. It is a kind of frustration.

About the airmail cover theme, well, i didn't see any airmail stamps recently in Czech Republic so i wouldn't be able to participate ( i respect the wish of others ). Some countries aren't fallen in the dark side ( like releasing 200-300 stamps per year ) so it is already hard to find something different and nice.
For example, Czech Republic is concentrating at this time on transports and architecture stamps and almost nothing about fauna/flora.
So, i have no issue with theme but i will participate only if i can provide the covers.

Great to see some common sense Rules being set in place Mark. :)

And I agree that anyone not complying with the above should NOT enter into the exchanges. If you are too busy to post images, well we are too busy to allow you to take part. Seems a simple and common sense rule to me. :lol:

Any member using cheap and junky low grade envelopes is not welcome either. That is frankly insulting to recipients. NO country makes decent grade envelopes hard or expensive to buy.

Anyone I hear of repeatedly breaching these rules will not be accessing this Forum, end of story. We simply "mask" your ability to even see it exists.

So folks, READ the above comments and comply please. :)

I would say yes to any theme nominated and a airmail envelope exchange sounds as good as any.

As for scanning received covers, it is just rude to not do so.

Since we are having a pretty dismal voter turnout, we are not going to go with the airmail envelopes theme in December. It will be business as usual.

However, if there is another theme that you guys think will work please post your ideas in this thread. This will apply to the January exchange and we can vote on it again.

Sorry Mark, don't know how I managed to miss this thread. A theme sounds fun, it would demand a bit extra work, but would look nice in the cover album for sure.

There might be months where people can't join in though. As for the airmail cover I'm pretty sure Sweden doesn't use those covers anymore, but I did manage to find a company that print airmail covers and sell them. Not sure if that would count though...?

Maybe it would be an idea to have two options for every monthly exchange? Either you sign up for the theme, or you go on with business as usual. And then people of course would be drawn against another person who has signed up for the same option. I'm in the same situation as Jeremy, with a country that thankfully doesn't issue too many new stamps. But if the theme of the month for example would be stamps with trains on, I would be screwed. But would still love to join the exchange, but with the option to put any nice m/s or stamps on the covers.

I do realise it creates more job for you Mark, so let me know if you need any help!

It takes a bit of time to scan the covers and upload them, but it's not that time consuming. And in any way it won't take more time and energy than what the person who sent it to you used. So scan the covers right away, it's not that hard, people! :wink:

Having a theme based exchange could be interesting, if we could have a theme that everyone would be able to participate. However, I don't think that we will have one anytime soon because it looks like not many members are interested. Not a single member has even proposed a theme, so for now the idea is dead.

For some reason I would have loved to have a sport stamp theme... :D

But the problem would be to do a, as I normally do, three cover exchange. It would be hard to find enough different stamps or m/s for that.

I love the idea of a themed exchange and I suspect more do too but have simply not indicated they do....perhaps we should just go ahead and try it....

There's no harm in running a 'theme' separately from the usual monthly exchange; that way you choose to participate in one or the other or both.

If the theme(s) chosen (why not have more than one!!) are broad then more participants are likely.

Most of us in the monthly exchanges send and receive more than one cover/postcard so why not do a themed exchange where each member creates two covers and exchanges with two different members thus maximising the variation and in theory allows for odd numbers of participants too.

AMark, I don't want this to fall on your shoulders so how about I come up with a thread....?
Some possible themes:
Sport, Christmas, Definitives, Self Adhesive only, Solo franking usage.....we'll soon know if the interest for such an exchange exists.

A single prepared unaddressed cover with franking is offered, if you want it you offer another prepared cover.....
All other 'rules' as per the 'theme it forward' threads would apply...

What you choose to put on the cover is up to you, you choose to take whichever cover appeals to your 'theme' interests.

AMark, I do understand that we are supposed to put up images of received covers, but i have had so much trouble trying to get them up on Photobucket.Obviously I am doing something wrong, but I just cannot seem to get them up.I have read the instructions and once I was actually able to post a couple but have not been able to since. I have received some lovely covers from my cover buddies and want to keep going. I did receive some covers that were posted on substandard envelopes but put that down to the type of paper available in that country. The m/s on those envelopes were beautiful.

I also just landed on this thread. Well... You know me Mark.. I'm thrilled if the topic is Souvenir Sheets on cover :D :D :!: but I would suggest that it might be easier if exchange partners would update their profiles to describe more exactly what they collect... And they can also chose a theme between each other if they wish.

I don't really collect aero grammes, so not a theme for me but I would certainly entertain themes going forward. Maybe forward a theme topic early to give people more time.. For example, with February being the month for Valentine's Day, that could be the theme for Feb., broadened to include LOVE-themed stamps.

Early yes, since it gives more time, I am ok for generic then specific themes, stamps used could be only from 2012 - 2014 & no specific cap on cover. If one person can exchange 3 great but dont expect 3 in return from your partner, as it depends on value of stamps and no. of issues available.

January - 1st issue from your country from 2014

Some themes could be Sports (not restricted to Football or Olympics), Odd shaped stamps, Self adhesives, Definitives, Souvenir Sheet or MS, Flora or Fauna

Theme are interesting, i propose that we create a list of themes, and as you choose ramdomly people's pairs for the swap, the theme can be also random from this known list. We can then say if we can participate to the swap with the theme or make normal cover swap. The rule should be something like at least 1 cover with the monthly theme if you subscribed.
Theme list can be very long, i will propose some : joined issues M/S, fauna, flora, sport ( to make Henrik happy :wink: ), transport, architecture, definitive, maximum number of stamps for the exact price, UNESCO, etc...

The built of the list can take us some time, but it can bring one more plesure when the month thread is opened, what do you think?

Perhaps, if you can practice adding an image a few more times you might get the hang of it.

I have read all the above post regarding the theme cover exchange. There are some very good ideas which I borrowed.

A theme it forward for stamps is a fantastic idea but, for covers it might not be. If a member chooses stamps for a cover, adds a cache to it, etc… and no one is interested in it what does he or she do with it? At best, that person can mail it to himself or herself.

How about this?

A “Theme only Cover Exchange” thread. The thread is separate from the monthly cover exchange and the exchange is based on current stamp issues from the member’s country of residence.

In the thread, interested members add a post. In each member’s post, he or she writes the themes that he or she collect or would like to collect. Also, each member’s post includes the themes that he or she can provide. That is, stamps that were issued recently by the member’s country. This can be updated on regular basis by simply adding another post.

Now, the way that the exchange would work is if I see a post by a member who has a theme that I am interested in and I can accommodate him or her I simply add a post saying that I would like to exchange with that member. The details of how many cover, the number of themes, etc… would be left for private discussion.

Furthermore, if there is a new theme that a member is interested in he or she adds another post which includes an updated list of themes.

Last, if there is a theme that I know a member's country has issued but its not listed by a member I can simply add a post asking for that theme form that specific member.

I think it could also be an ongoing thread. Meaning, that it doesn’t have to be re-posted every month.

The idea is to send covers to your exchange partner using nice modern commemorative stamps with nice postmarks if possible. The amount you send is between you and your partner for the month.

I like your idea above, Mark! It's easy to update what I can offer every time Sweden issues new stamps, and other members can quickly see what I can offer, and what I like.

Just don't take away the usual cover exchange. Part of the fun with this exchange is not knowing what kind of stamps one will get from the other side of the world. So far, during all these exchanges, I've been positively surprised every time! :)

The theme cover exchange will not replace the Monthly Cover Exchange. It will be an additional exchange for those that are looking for specific stamps, themes, minisheets, etc...

A few Rules for the theme cover exchange.


1. Stampboards member for 20 days.

2. Minimum 20 posts made on Stampboards.

3. You must make a post on the thread, to let your exchange partner know, when you are sending and when you have received the cover.


If you guys feel that we need more Rules, please post them here.



Also, should there be a Rule about posting images of the covers received?

This is an example of a Rule, about posting images, which is found in the Monthly Cover Exchange.

You must post images on the thread of the cover received for the interest of sender and other members. It is safe to assume all members have some access to a scanner, digital camera, or a phone with which you can take pictures. High quality images are not the point – but SOME image is what is sought!

I definitely vote for a rule that says one must publish a scan/photo of the received cover. Fun for the rest of us to see too. :)

Not sure we need another thread for it though. Should be enough to just write if it's from normal cover exchange or the theme cover exchange.

agree with Henrik. Keep all the scans on the same scan exchange cover.

I would say one step ahead if scan not shared, the individual cannot participate in any exchange until shared.

I have no update from my partners now from 2 exchanges

Also agree with Kenneth's comment. We are a VISUAL board and it irks me when covers are not posted....I put a lot of work into the ones I send out. Some have even been pieces of personal artwork that I have done, so it's nice to see it posted.

In addition to the above Rules, I will include these two Rules found in the Monthly Cover Exchange and a third that is specific to posting images.

If you do not mail a cover to your exchange partner, you will not be able to participate in the cover exchange until the recipient notes it has arrived. If you do not mail a cover to your cover exchange partner for the second time, you will be permanently banned from further exchanges. Admin agrees with this rule, and will be notified of any such members.

A little fine tuning of how the "Theme Cover Exchange" should work.


How the theme exchange works.

Members collecting themes or interested in a particular theme add a post to the "Theme Cover Exchange" thread. In this post, each member indicates what themes he or she collects. This post must also include the themes that a member can provide for the exchange. Themes should be based on recent issues of the member’s country.

This is how the actual exchange could work.

If I see a theme offered by a member which I am interested in and I am able to accommodate his or her theme interest/s, I add a post saying that I would like to exchange theme covers with this member. In the post, I would write the theme that I am interested in and what I can offer for it. Furthermore, I am responsible for contacting this member via the Stampboards e-mail to let him or her know about the possible exchange.

Please let me know what you guys think.

Have been collecting stamps for many years but were never really interested in covers. I’ve read through a few threads and now have a good idea of what makes a good cover e.g. envelope quality, hand cancels etc.

I would like to ask a few questions though:

1. Is it standard to put a piece of cardboard inside?

2. Do you actually open the envelopes or leave them closed? I’ve read that people send some bonus goodies now and then.

3. Does the size of the envelope matter?

4. Any rules for the reverse side, just the normal return address?

5. Addresses handwritten or printed?

6. Any other tips to make a nice cover?

Hi pasopvirpot, Welcome to Stampboards.. Even i was in a same mind set when i was new to stampboards.. :)

1. Is it standard to put a piece of cardboard inside?

Yes. You can use a cardboard. This is only to avoid the damage or folding of the cover during the transit. If you use, the cover will be in a good condition and much worth for collecting. Otherwise it may receive in any condition..

2. Do you actually open the envelopes or leave them closed? I’ve read that people send some bonus goodies now and then.

It depends on you. You can open it or leave as it is. Yes, there are lot of collectors include some free goodies.. Most of the receivers don't know about the free goodies inside the cover.. It is just for a surprise.. So, you better open it.. :)

3. Does the size of the envelope matter?

No. Its depends on the stamps which you are using. If single stamps, a small cover is enough. If you use multiple single stamps or miniature sheet, obviously it need a large envelope.

4. Any rules for the reverse side, just the normal return address?

No. There is no particular rules. You just write your full return address.

5. Addresses handwritten or printed?

Its up to you.

6. Any other tips to make a nice cover?

Try to use,
1.Set of stamps or
2.Thematic Stamps or
3.Colorful stamps or
4.Miniature sheet or
5.You can do hand drawing without disturbing the stamps or address.
6.You can take a color printout on cover having pictures depends on the stamps you are using (Like FDCs)
7.Try to put hand cancel to your cover in PO.

So opening is okay even if you damage it a little?

With hand drawing, do you mean actually drawing a picture on the cover, if yes that will ruin it if I am drawing hahaha.

Please use scissors to open it. You can cut at very edge of the cover.. It won't damage the cover. If you check the covers which i received, you can't find whether it was cut or unopened.. :)

Yes. Drawing on the cover. You don't want to be a artist, What ever you draw its a painting.. After all it all for hobby and show how much you are interested in Philately.. :mrgreen:

Use color pencil or crayons to draw on cover. If you are good in water color, paint the plain cover, let it dry well then stick stamps and address, etc., But if water disturb the cover during the transit, GOD only help the cover from ruining.. He he he..

I would only make one change in the advise given: ALWAYS open and remove the any stiffeners. The cardboard or paper used as a stiffener may be more intended for "industrial" applications and is usually much more acidic. Over time, it may/will cause damage to the cover...

Personally, I am not a fan of using scissors to cut away parts of covers when opening them. A letter opener works just fine and it doesn't remove anything from the cover.

Yes, I agree there too Mark. MUCH prefer using just a letter opener....,reduces the risk of damaging contents. But I will resort to scissors when it is glued down to where you can't open it neatly otherwise.
